Code Blue

How to respond to incidents in session

Has a leader reported 'Code Blue' in the leaders chat?

YOU are the primary person to respond to this. If you are unable to provide support, alert the other leaders in the leaders chat so they can go to the breakout room in your place.

A Code Blue means a leader has witnessed a player be the victim or perpetrator of:

  • Bullying / teasing
  • Intimidation
  • Excluding others
  • Offensive language directed at others
  • Sharing inappropriate content or links
  • Threats
  • Sharing other players' private information without consent
  • Infringing on others' privacy
  • Spamming (chat / soundboard)
  • Discussion of illegal offences
  • Recording the session

Step 1Meet with the leader & player in a Breakout Room

Step 2Find a replacement leader (if the lobby is unsupervised)

Message the leaders chat to find a replacement leader to supervise the lobby.

REMINDER: Do not judge or give advice. Validate the player's feelings, and recommend appropriate support services.

Step 3Discuss what happened with the leader and player

Setup

Get in position before the session starts

1Join the Overseer channel

Jump into the ๐Ÿ‘‘ OVERSEER ๐Ÿ‘‘ voice channel on Discord.

2Put your crown on

Insert the crown emoji ( ๐Ÿ‘‘ ) between the square brackets of your Discord nickname by right-clicking your profile tile and clicking 'Edit Server Profile'.

3Check the Overseer Log in the CGHQ doc

Access the Overseer Log. You should only see data in:

If you see data in other columns, this is an indication that the data was either a) not exported or b) not cleared.

How to check if the data was exported correctly

Check the OSL Record tab to see if the date of the last export is the date of the previous session. If it is, it has been exported correctly.

What if the data from the previous session was not exported?

If the last Overseer report was not exported, go back to the Overseer Log sheet and click Export Data. If it was exported correctly, click Clear OSL then Clear VABD.

NOTE: Seedling data is manually entered and is not supposed to clear when you clear the log. Do not delete this.

REMINDER: The voice attendance bot refreshes every 10 minutes. If you cannot see any data in Column P โ€” don't panic, just give it time.

Attendance

Take attendance in the CGHQ doc

Once you have checked that the previous Overseer Log exported correctly and have reset it for this session, go to the Attendance Sheet and check off the attendees for the evening.

You can double-check who is in attendance by going to the Overseer Log and scrolling across to columns AIโ€“AK. These columns cross-reference each other to ensure that players are marked correctly according to the:

  1. Attendance Sheet (Column AI) โ€” names appear here when you manually tick them off
  2. Discord Bot (Column AJ)
  3. Session Plan (Column AK)

Check which players have been identified in Columns AJ & AK to see if any players are missing from the Attendance Sheet. Keep checking & updating the Attendance Sheet periodically throughout the session.

What about players who are absent?

Players have been directed to report their absence in the # ๐Ÿ›„ absentee-updates channel. For anyone who does report that they will be absent โ€” whether it's tonight or another date they have specified โ€” mark the corresponding checkboxes purple on the Attendance Sheet.

Then green check mark โœ… the message from the player to indicate this has been finalised.

Checkpoints

Post the list of checkpoints at 6pm in the leaders chat

Post the Check-Points list (located in Column X of the Overseer Log) in the leaders chat using the tag @here.

Retention

Reach out to the players that have not shown up to session

Reach out to players who are left in the live-updating retention list in Column R of the Overseer Log.

Copy & paste the list from Column Q to Column R (copy, then paste with Ctrl+Shift+V to just paste values) to see contact numbers for players appear.

Example message (nothing too formal, just a simple check-in): "Hey [name], hope you're well, just checking if you're coming into session tonight?"

REMINDER: Don't automatically mark people who are away with the purple box โ€” this is only for explained absences. If the player has not provided an explanation, leave their checkbox blank. If you receive a message from a player explaining their absence, colour their attendance box purple.

Service Agreement (SA) matters

If you get a message from a player regarding matters concerning their SA, such as:

  • Cancelling their SA
  • Changing their days
  • Running out of funding

Please let your Social Gaming Coordinator (Kat) know so this can be followed up with accounts.

๐ŸŒฑ Seedling Check In

Check in with all the seedlings that are present to see how they're settling in

As the Overseer, your role is to support and guide new players (aka 'Seedlings') until they are settled (or 'graduated').

Head over to the Overseer Log โ€” the list of current Seedlings can be found in Column D. Column E will display a green checkbox to indicate which Seedlings are present for the current session; these are the players that you will be checking in on.

If there is a seedling in session whose name does not appear in the Column E list, and they are not doing their Connection Session, please let one of the management team know.

Running the check-in

Once you've identified which seedlings to check in with, start jumping into the lobbies that they're in and asking them to have a quick chat with you in one of the Breakout Rooms.

Prerequisites for removing seedling status (record this in the Overseer Log on the CGHQ spreadsheet)

  • Player has attended for more than 2 weeks (you do not need to check this โ€” the box ticks automatically once the player has been attending for more than 2 weeks)
  • Player has found people they like playing with, and people to play with them
  • Player feels comfortable navigating Discord
  • Player doesn't have any major concerns and would not like any more regular check-ins outside the 3-monthly checkpoints

Once a player has checked all of these boxes, their name will be highlighted green, indicating that they are eligible to graduate from the seedling role.

If you think the seedling says something worth noting for the next overseer, feel free to right-click the box where you would click the check mark and write a quick note.

REMEMBER: Hold a mini graduation 'ceremony' for players who will have their seedling status removed, to help them feel more welcome in the group! A great way to do this is to tag the leaders who will be with the seedling for POTD and let them know to hold a little graduation ceremony. Make sure to remind them to then change the player's role in Discord: right-click the player's name, go to Roles, select the 'Player' role and remove the 'Seedling' role.

Join Social Gaming

Jump around the lobbies to see if any players or leaders are needing support

Once you have completed retention, checked in with new players and ensured everyone is settled in, you may then resume duties as a social gaming leader, and offer your games / join existing ones. (Update the social gaming chat if you're taking a break.)

Overseer Report

Write a report at the end of the session describing how it went

You will submit your Overseer Report in Column AF ("Overseer Comments After Session") in the Overseer Log.

The report should include

  • General player engagement
  • Popular games this session
  • Any issues encountered
  • Any other general notes you feel are relevant

REMINDER: If there was any rule-breaking, or anything more severe that occurred in session, report this directly to the management team.

Export the session's data and reset the log for next time
